What calibration tracking software does

At its core, it is a register of instruments — torque wrenches, paint mixing scales, pressure gauges, brake testers, headlamp aim testers, gas analysers — each with a serial number, location, responsible person and supplier, plus the dates that matter (last checked, next due) and the certificate attached directly to the item. Reminders notify the right people ahead of the due date, provided they have been configured for that item.

Instrument examples and who sets the interval

• Torque wrenches and paint mixing scales. Interval is usually set by the manufacturer or by the workshop's own quality system (e.g. to meet a paint manufacturer's approval scheme or ISO 9001), commonly annual.
• Brake testers and headlamp aim testers. DVSA requires these to be checked six-monthly as part of MOT station approval.
• Gas analysers. Must be of a DVSA-approved type, maintained and checked in line with DVSA's scheme for that equipment.

Inspection and calibration are separate activities: an inspection confirms equipment is safe to use (for example a LOLER thorough examination), while calibration confirms a measuring instrument reads accurately against a traceable standard. The same item can need both, tracked as separate dates.

Certificate retrieval and responsibility

Each certificate is attached to the item it belongs to, so it can be found by looking up the instrument rather than searching email or a shared drive. A responsible person is recorded against each item, and reminder settings determine who is notified and how far ahead — a typical schedule is 90/60/30/14/7 days before the due date, but this has to be set up per item or category; it is not switched on automatically.

Completing a calibration

When an instrument comes back from calibration, the responsible person marks it complete, which logs the result to the item's service history, and enters the new next due date based on the certificate and the applicable interval. FileGuard does not move the due date forward on its own when a certificate is uploaded — that step is deliberate so an out-of-tolerance result or a shortened interval can be reflected accurately.
